Job Summary:
Reporting to the Associate Director, the Sr. Coordinator, Advising and Academic Operations is part of high functioning team responsible for the academic, professional, and personal success of approximately 900 HGSE (Harvard Graduate School of Education) master’s students. This role works collaboratively across the team to support the advising and academic progress for the residential Ed.M program.   The Coordinator is part of a cohesive and collaborative team that contributes to the design and implementation of the elements of a 21st century model designed to promote student success in higher education, providing an exceptional learning experience for all HGSE master’s students. This position requires an on- campus presence most days.
Job-Specific Responsibilities
Specific responsibilities may include, but are not limited to: 
• With support from Assistant/Associate Directors, design Program-specific curricular, programmatic, and policy information for Faculty to inform their advising work with students.
• Coordinate with the Assistant/Associate Directors to support  advisor matching, assignment, communication, and tracking processes, including entering information into my.harvard. Develop surveys and review feedback to understand advising processes and evaluate needed changes/enhancements.
• Provide program/concentration resources and information to students as requested. Help answer current and prospective student questions, triaging and escalating when necessary. Serve as a contact for prospective and incoming students during student onboarding.
• Support advising activities including scheduling webinars, drafting invitations, and attending program or concentration tabling info sessions.
• Organize, track, and maintain program and concentration files, resources, and documents.
• In concert with the Assistant/Associate Director’s, support the faculty Co-Chairs in the continued development and implementation of program requirements, curriculum, as needed. Oversee the course distribution updating process each year for program and/or concentration course lists.
• Support the concentration declaration and enrollment process, tracking declaration enrollment, and answering student questions related to concentration declaration.
• Contribute to the management of the petition process including making recommendations related to the course distribution list. As requested, collaborate with the faculty co-chairs to build/revise course distribution list.
• Create and update relevant program and concentration websites including EdM Support webpage, program canvas pages, admitted student website, onboarding site, and others, as needed.
• Track, process and monitor all hiring paperwork for independent contractors, and external facilitators, when needed. 
• Support the student conference fund including the application process, communicating with students, and processing financial awards.
• Provide support and tracking for the program admissions process, including the file reading process and entering admissions decisions and supporting recruitment and yield activities, including working with co-chairs to update messaging for newly admitted students. 
• Serve as a member of a program admissions committee including reading and evaluating admissions applications. 
• Draft, update, and disseminate communications as requested.
• Identify and communicate any academic progress student issues or concerns to the Program Assistant/Associate Director. 
• Track and monitor student completion of program and concentration requirements and escalate to ADs as needed.
• Collaborate with the Registrar's Office to ensure the accuracy of the academic advising reports and commencement materials. 
• Manage invoice processing, supply ordering, and budget tracking and reconciliation. 
• Contribute to residential master’s program initiatives as needed. 
• Provide coverage for other team members and surge capacity as needed
